Setting up Passes

A Pass grants your clients access to your services. Whether it is for a class, workshop or appointment; ScheduleBliss enables you to create a many different types of passes to suit all your various kinds of services.


To add or edit your passes, navigate to Manage -> Passes then click on Create New Pass Type.

Pass Options

Setting Description
Pass Name Enter a unique, concise name for the pass. The pass name will be displayed on a variety of devices and different screen sizes so please keep that in mind.
Type Passes can either be set with a Limited Number of Visits or they can be Unlimited.
Valid From This is when the pass will become available for use. This can be set at the Purchase Day, to a Specific Date or from the First Visit. Please see below for more information on these options.
Valid Until This is the last day the pass will be available for use. This can be set at Number of Months, Number of Days or to a Specific Date. Please see below for more information on these options.
Pass Price Enter the pass price of your choosing. If you would like to set up a free pass you can set that figure at 0.
One Time Offer No: The pass can be purchased by all clients without restrictions. Valid Only for New Clients: The pass can be purchased once by new clients only.Valid for All Clients: The pass can be purchased once by all clients.
Taxable If set to Yes, tax will be applied to sales of this pass.
Available at Online Check-In If set to Yes, the Pass will be available as an option for purchase when clients sign up online.
Available in Online Store If set to Yes, the Pass will be available for purchase on the pricing page.
Online Store Position This option enables you to choose the order of passes in the online store. Please note, all passes will be set at 0 by default. To set the order please set the pass you would like to appear first at 0 then each consecutive pass in chronological order beginning at 1.
Program Select the program that you would like the pass to apply to.
Status Active sets the pass as viewable and available for sale while Inactive sets the pass as not viewable and not available for sale.
Per Head Rate for Pay Scales Enter the per head rate if using pay scale type Per Head Based on Pay Scale Defined for Each Pass Type, otherwise leave blank.
Adjust for Discount If set to Yes, discounts on purchases will be calculated into staff member's pay if using pay scale type Per Head Based on Pay Scale Defined for Each Pass Type.
Auto Email Client on Purchase If set to Yes, clients will receive an automatic email upon purchase of the pass.
On Purchase Auto Email Subject Enter the text for the subject of the On Purchase Auto Email if you have chosen to send it.
On Purchase Auto Email Text Enter the text for the body of the On Purchase Auto Email if you have chosen to send it.
Autopay If set to Yes, the pass will be set as an autopay pass and will automatically be entered into autopay by default upon purchase.
Autopay Terms Enter your autopay terms here. Clients will view and agree to the terms at online checkout.

Valid Dates

In order for your client to use your services, your clients must purchase or be issued a valid pass for that session, event or appointment.

A pass is valid for a session if it's Valid From date starts on or before the date of your session; And the Valid Until date ends on or after the date of your session.

Wherever possible, it is most convenient to set the Valid From to Purchase Day. Your clients will still only be able to signup for sessions for which that pass is valid for. This means that if the pass is valid for a particular workshop, then even though the pass is valid from Purchase Day, clients will only be able to use the pass for the specific date for which it was created.

The benefit of setting your passes as valid from Purchase Day is that you will not need to manually change the Valid From setting for an issued pass (or multiple passes) should anything happen and you need to re-schedule a session earlier. And as mentioned above, even though the pass is set as valid from purchase day, it can still only be used for the date(s) of the session(s) it was created for.

Similarly, we have found it most useful to set the Valid Until date a little longer, so that if a session is re-scheduled or missed, you will not need to manually make changes to the Valid Until date setting for the affected passes.

Passes can be Valid From:

  • Purchase Day: The pass will become valid on the date of purchase.
  • Specific Date: The pass will become valid on the specific date set.
  • First Visit: The pass will become valid on the date of the client' first use.

When selecting First Visit, you will be prompted to set Pass Expires if Visit is not Within:

  • Number of Days: The pass will expire if first visit is not within the set number of days.
  • Number of Months: The pass will expire if first visit is not within the set number of months.
  • Specific Date: The pass will expire if first visit is not by the set date.

Passes can be Valid Until:

  • Number of Months: The pass will be valid for the set number of months from the Valid From setting.
  • Number of Days: The pass will be valid for the set number of days from the Valid From setting.
  • Specific Date : The last day the pass will be valid will be on the set date.
